What data we collect

Below we explain which data the website uses and why.

Contact data: When you use the contact form, we process your name, email address, message, selected subject and language, and your organisation if you provide it. Resend sends a notification to our inbox and an acknowledgement to you. People, Syntrociety’s contact register, also processes these details and stores your message for handling and follow-up. Using the contact form does not automatically subscribe you to the newsletter.
Analytics data: Plausible Analytics, Vercel Analytics and Vercel Speed Insights measure website usage and performance. We use the collected statistics to improve the site. The services we use are listed on the Sub-processors page.
Language preference: We store your language preference in a cookie to remember it on future visits.

Cookies

The website uses cookies for your language preference and, when those features are used, the welcome notification and tour. The splash page uses local browser storage to remember an earlier choice. Their names and functions are listed below.

NEXT_LOCALE (essential): Stores your language preference. Expires after 1 year.
Plausible, Vercel Analytics, and Vercel Speed Insights: Aggregated page views, Core Web Vitals, and performance metrics. No advertising cookies.
syntrociety-splash-seen (functional, localStorage): Remembers that you have seen the welcome page when you tick “Don’t show again”. Expires after 30 days. You can clear this through your browser settings or reload the welcome page with ?reset.
welcome_seen (functional): Remembers that you have closed the first-visit welcome banner or picked a role from it, so the banner does not reappear on every page load. Set when you close the banner or pick a role. Expires after 1 year. SameSite=Lax.
user_role (functional): Remembers which role you picked from the welcome banner (researcher, citizen, lab, entrepreneur, or mayor) so future personalised flows (in development) can refer back to it. Set only when you pick a role. Expires after 1 year. SameSite=Lax.
tour_active (functional): Marks that you have accepted the guided tour. Set when you click "Yes, start the tour" on the perspective page; cleared when you click "Exit tour" or finish the last step. Expires after 1 year. SameSite=Lax.
tour_step (functional): Records which step of the tour you are on (1 to 5). Set when you accept the tour; updated as you click "Next". Cleared when you exit or finish. Expires after 1 year. SameSite=Lax.
tour_offered (functional): Records that you have either accepted or declined the tour offer, so it does not reappear on every visit. Set on accept or decline. Expires after 1 year. SameSite=Lax.

Your rights

Depending on the processing and the applicable conditions, the GDPR gives you the following rights:

Send your request to privacy@syntrociety.org. We will handle it together with the service that processes the data.

You may also lodge a complaint with the Portuguese supervisory authority, Comissão Nacional de Proteção de Dados (CNPD): www.cnpd.pt.

Data retention

Your language preference is retained for one year. Contact messages are held in our inbox and in People for handling and follow-up; no fixed automatic retention period is configured for these messages. You can request access or deletion through privacy@syntrociety.org. People’s privacy notice describes the retention of contact records and the handling of deletion requests. Stripe applies its own retention periods to earlier payment data.

Changes to this policy

We may update this policy from time to time. The date at the top of this page indicates when it was last revised.

When you subscribe, People receives your email address, your first name if provided, and your language preference. People manages the subscription and passes the details to Resend for delivery. You can unsubscribe using the link in the newsletter. Unsubscribing stops the newsletter; you can make a separate request to delete your contact record.
